How do I start to select or change my benefits?
Helpful tools to consult when selecting your benefit plans are:
Alex: Easy to understand tool to help you choose the medical plan that best fits your needs + lots of supporting info on the other plans available to you - check it out!
Collective Health: Find a doctor, compare plans, get plan details, link to enroll & much more (pro-tip: this will be a really important resource for you especially after you are enrolled to get your ID cards, help with claims, and even support for bills from your providers)
US Benefits Guide: We know it’s long but there is A LOT of information in there! Take it one easy step at a time, and just hit “Command-F” to find what you are looking for in there.
The Virtual Benefits Fair: Visit vendor “rooms” for more info on what they offer and access to more support resources. You can access the site from anywhere and don’t need to be connected to VPN, you just need the PW (benefits2023).
Enroll in Workday: You can link to enrollment in Workday from Alex, Collective Health or from the Workday tile in OKTA. In your Workday Inbox located in the upper right-hand corner of the homepage you will find your New Hire Event. Through this event, you may enroll in your benefits.
How can I get access to my medical insurance information?
Once you submit your elections in Workday, within 3-5 business days you will be on record at Collective Health, and you can then print/view copies of your cards from the Collective Health portal. You should have received an email from them to set up your account. You should then be able to provide the new insurance information to the provider and have them submit the claim to your new insurance.
Ummmm….there are no deductions for my health benefits election on my first pay slip
Zendesk picks up the health premiums for your first month. On your next paycheck you will begin seeing deductions taken.
How do I enroll in / change my 401k contribution?
Our 401(k) plans are administered by Fidelity and every employee is enrolled at a 5% contribution automatically. This usually begins by your third payroll. If you would like to modify this election before that payroll, be sure to login at www.401k.com to make your change. Even if you want to keep your 5% auto enrollment election, you should login and set up your account credentials at Fidelity. If you have any issues with the login process, please reach out to Fidelity directly @ 800-294-4015.
I already made contributions to a 401(k) with another employer this year, and I do not want to go over the maximum contribution allowed for the year with my Zendesk contributions. What should I do?
EASY! Please send an email to uspayroll@zendesk.com with the total of your prior 401(K) contributions, and we will record this in Workday on your behalf. Workday is implemented to automatically stop contributions once the annual maximum is met.
This is weird, my previous employer still shows up in my Fidelity 401(k) account.
Please make sure you completed your benefits enrollment task in Workday first. To do this, you will need to go to your Workday homepage and click the box icon located on the top right corner of your screen. It should take you to your Workday Inbox where you will see your New Hire event. Click the task from the inbox and follow the steps through. Once completed, this should feed over to Fidelity and update your employer record accordingly. It will typically take about a week for Fidelity to receive your new hire information.
Help! I cannot access the Calm App.
Calm should be updated with your eligibility data within 7 business days of your date of hire. If it has not yet been 7 business days, please wait and try again. What is the Group Life Term charge on my payslip?
Group term life is a non-cash fringe benefit paid on your behalf by Zendesk. The value of coverage amounts above $50,000 are taxable to employees. Your paystub reflects this as earnings in order to express the taxation.
What is the Parental Leave Eligibility?
For the 16 weeks of parental leave that Zendesk provides, there is no waiting period, employees would be eligible day one.
What is the WFH Equipment Eligibility?
New hires are eligible to expense items from WFH Equipment guide. Please work with your manager prior to ordering to avoid any issues with approvals when you file for reimbursement, see FAQ for more information.
What is the WFH Equipment Timeline of Purchase & Reimbursement Process?
There is no timeline of when you must purchase an item from the WFH Equipment guide, however, these are only one-time reimbursements. However, items must be submitted for reimbursement within the quarter in which they were purchased. Please work with your manager prior to purchasing to ensure that your expenses will be approved.
